The back office for blue-collar businesses

You run the tools.
We run the paperwork.

Quotes drafted on your rates, out the same day. Invoices chased in your words until they're paid. Compliance clocks watched daily. And if you chase government or strata work, the tender boards get scanned every morning too. You never learn an app — it texts you, you reply YES or NO.

How it works

Three steps. Then it just runs.

STEP 1

Tell us how you run

Fifteen minutes, plain answers: how work arrives, who does what, where the hours go. Our engine reads it and builds your plan — what you need, what gets built first, what it saves.

Get your build sheet →

STEP 2

Show us your last five jobs

Photos of the real thing — quotes as sent, invoices, the texts you send customers, job photos, your rates. That's how your system learns to price like you and sound like you.

Upload your paperwork →

STEP 3

Say YES or NO

Live inside two weeks. Everything starts as a draft needing your word — and only earns autonomy when YOU say "stop asking." One text with your coffee, one on Friday with the numbers.

What it handles

The whole back office. Your pick of the pieces.

Quotes

Voice note + photos from site → drafted on YOUR rates in YOUR words → chased until answered.

The money

Invoices out on completion, overdues chased politely then firmly, payment-claim dates tracked and flagged before they fall due — the call stays yours.

The phone

After-hours, weekends and overflow answered; missed calls texted back before the caller rings the next bloke. Got an office? It covers the hours they don't. Your number stays yours.

Work orders & portals

Strata emails, builder portals, council POs — turned into jobs on the board automatically.

Variations

"While you're here, can you just…" becomes a written, priced variation the same day. No more free work.

Compliance

Notices, certs, SWMS packs, renewals — prepped, tracked, every clock watched. One email answers any builder's "send us your docs."

Government work

Tender boards scanned every morning — 70+ checked, only the ones that fit you flagged. Capability statement built. Responses drafted to 80%. The difference between bidding 4 gov jobs a year and 40.

The crew

Morning job board texted to the crew, job records from the photos they already take, timesheets without the chase.

Every business gets a different mix — and the phone is never a paid add-on — a commercial subbie needs the tenders and the compliance; a word-of-mouth sparkie needs the phone and the quotes; a strata plumber needs the work orders. Your intake decides your build. That's the whole point.

And it fits what you already run. Xero, MYOB, ServiceM8, Simpro, Aroflo — Grafta doesn't replace them and doesn't ask you to. Where it helps, it works inside your tools as a user you invite (and can kick out) — so nothing gets entered twice and nothing gets ripped out.

Who it's for

Built for how YOUR shop actually runs.

The word-of-mouth shop

No website, no ads — the phone is the whole business. Every missed call is a job that rang the next bloke. We catch the calls, draft the quotes, chase the money.

"The phone never rings out."

The commercial subbie

Portals, purchase orders, tenders, compliance packs. The work's good — the paperwork wall is the problem. We run the wall.

"More at-bats, same win rate."

The maintenance contractor

Strata managers and agents firing work orders all day, SLAs on everything. We turn every email into a scheduled, documented, invoiced job.

"Never miss a work order again."
How we prove it · Sydney
The machine is live right now in a 60-day design-partner pilot with a 20-year Sydney trade operation — measured against its four baselines from day one. The ledger below fills in as receipts are earned, and every founding client's numbers go there next.
We measure the four baselines before we touch anything, and every win goes in the ledger. Receipts get published as they're earned — no paid testimonials, ever, just the numbers.

Who's building this

Three founders. One build line.
Not a faceless SaaS.

Dylan Alaalatoa — Sydney

Grafta is owned by three founders — Dylan Alaalatoa, Beau Yates and Noah Sullivan — and built and run day-to-day by Dylan. We're taking exactly ten founding businesses, built one at a time. You deal with Dylan: he runs your intake, builds your system, and when something needs a human, you get him — not a ticket queue.

Pricing

One admin day a week. Except it never clocks off.

FOUNDING TEN — the first 10 businesses lock their founding rate for 24 months

Small crew

1–4 on the tools — the owner IS the office. We hand your nights back.
$990/mo +GST
One-time setup: $2,000 — your system built, trained on your jobs
MOST SHOPS

Standard

5–14 crew — there's an office person. We run the hours they can't.
$1,290/mo +GST
One-time setup: $2,500 — your system built, trained on your jobs

Established

15+ crew — office team; claims, variations & compliance at volume.
$1,790/mo +GST
One-time setup: $3,500–5,000 — scoped line-by-line in your build sheet

That's the whole price list — flat, month-to-month, no per-seat, no lock-in, no "final price on application." Your build sheet confirms your band and your setup number in writing before you spend a dollar.

EVERY BAND GETS
  • Run for you — set up AND operated. You never learn software.
  • Cheaper than the hours it replaces — owner-run shops get their admin day back; shops with an office get the nights, weekends and overflow the office can't cover.
  • Sounds like you — built from your real quotes, texts and rates.
  • Fits what you run — works alongside Xero, MYOB, ServiceM8, Simpro. Nothing entered twice.
  • You own what's yours — your number, your data, your rate book, your runbooks. Leave any time: it all comes back to you, and we delete our copies.
  • Draft-by-default — nothing sends without your YES until you say otherwise.
  • The Friday receipt — money in, money chased, hours saved. Every week, in writing.

The receipts guarantee: we log your four baselines on day 0 — admin hours, quote turnaround, money outstanding, deadlines hit. If 90 days of receipts don't cover the retainer, the month's free and you can walk. You see the same ledger we do, every Friday.

Straight answers

The questions every tradie asks.

Do I have to learn new software?

No. That's the whole point. The system texts you — you reply YES or NO. (WhatsApp or email if you'd rather.) Your crew keeps sending the voice notes and photos they already send. If you can run a group chat, you can run this.

Does it replace Xero, MYOB or ServiceM8?

No — and it doesn't ask you to. Keep whatever you run: Xero, MYOB, ServiceM8, Simpro, Aroflo, the lot. Grafta does the drafting, chasing and tracking that feeds those tools. Where it needs to touch them, it works inside YOUR account as a user you invite through the software's own controls — you can revoke it any time, and we never hold your passwords. Nothing gets entered twice, nothing gets ripped out.

How many messages a day is this going to send me?

Two you can set your watch by: the morning board with your coffee — anything needing a YES is batched into it — and the Friday receipt with the numbers. In between, it only interrupts you for money that can't wait, like a quote that should go out today. If it ever buzzes more than you like, "batch it" is an instruction it obeys.

What if it sends something wrong to a customer?

It can't — not without you. Everything starts as a draft that needs your word: quotes, invoices, chase messages, the lot. It only ever acts on its own after YOU say "stop asking me" for that exact task — and your best customers can be flagged so their messages always come past you first. Where the paperwork touches the law — payment claims, compliance dates — we track and flag the deadlines; the call stays yours. Who's responsible for what is written in plain English in the Terms.

Who actually sees my business data?

You own everything — your customer list, your rates, your numbers. We never sell data, never share it with anyone outside the tools that run your system, and if you leave, you take the lot and we delete our copies. Full detail in the Privacy Policy.

How fast is it running?

First pieces live inside two weeks of your paperwork landing with us. You'll see something real — usually your quote drafting or your invoice chasing — inside the first week.

What trades do you cover?

All of them. Plumbing, electrical, carpentry, concreting, bricklaying, building, and every blue-collar trade in between. The intake works out how YOUR shop runs — word-of-mouth, commercial contracts, or strata work orders — and your build matches it.

What do I actually pay?

One flat monthly number by the size of your shop — $990 for a small crew (1–4), $1,290 standard (5–14), $1,790 established (15+) — plus GST, month-to-month, cancel any time. One-time setup to build and train your system: $2,000 / $2,500 / $3,500–5,000 by the same bands, confirmed in writing in your build sheet. The first ten businesses lock their founding rate for 24 months. For scale: a casual admin day a week costs $1,100–1,320 in Sydney and works 8 hours — this works around the clock and never calls in sick.

What if it doesn't pay for itself?

Then you shouldn't pay for it. That's the receipts guarantee: we log your four baselines before we start — admin hours, quote turnaround, money outstanding, deadlines hit — and every win lands in a ledger you can see, priced at your own labour rate. If 90 days of receipts don't cover the retainer, the month's free and you can walk — with your data, your rate book and your runbooks handed back in one pack. You read the same ledger we do, so there's no "who decides" — the numbers do.

Can I cancel? What do I lose?

Cancel any time, month-to-month. Everything that's yours leaves with you — the phone number, the data, the rate book and the documented runbooks, handed over in one pack — and we delete our copies. The engine itself switches off, and you go back to running things exactly the way you did before, out nothing. We're the opposite of the lock-in contracts this industry is famous for.

Grafta's a small team. What happens if the bloke who builds it is off the tools?

Fair question — it's the first one I'd ask. Three protections, all real: your setup is documented in runbooks from week one (that's the ownership pack — you could run your paperwork by hand off it tomorrow); everything that's yours — number, data, rate book — ports out whenever you ask; and there's no contract holding you. Worst case, you're back to exactly how you run today, with better paperwork than you started with.

Who's behind this?

Grafta is founded by Dylan Alaalatoa, Beau Yates and Noah Sullivan, and built and run day-to-day by Dylan in Sydney (ABN 32 138 922 129) — named founders you can email today and get a same-day answer from, not a faceless SaaS. The story's on the About page. Email dylan@grafta.com.au.
